Job Description

The Secretary for the Education Department and Graduate and Professional Studies (GPS) programs is to provide secretarial support to the Department Chair, faculty, and adjunct faculty as well as support identified GPS programs.

Essential Functions:
Maintain overall office operations for Education Department
a. Serve as receptionist for education department. Greet visitors, monitor reception area, answer the phone, forward messages, direct inquiries to the correct person(s), assist students who may have questions, assume role as ‘The Face’ of the education department.
b. Order supplies and materials for the education department, process purchase requisitions.
c. Assist all members of the education department by submitting copy orders, organizing mail, taking phone messages, organizing materials, etc.
d. Change mailboxes every semester to reflect current faculty and adjuncts.
e. Mange the Ed News mailing list.

Coordinate Education Department and Identified GPS Programming
a. Organize textbooks for all education department courses—communicate with instructors and the bookstore to confirm texts for all courses, request desk copies for instructors.
b. Assist undergraduate, graduate, and adjunct faculty with retrieving student information and class rosters, duplicate materials, reserve rooms, etc.
c. Serve as the notary for education students who need forms for practicums and student teaching information notarized.
d. Enter all Praxis 2 scores (teaching students, special education students, deaf education students, undergraduate elementary education majors, and education minors).
e. Order yearly Beaver Award plaque. Have names engraved on office plaque.
f. Distribute professional disposition reports each semester.
g. Assist adjunct instructors with materials, technology questions, textbooks, etc.
h. Maintain faculty and student mailing lists.
i. Collect criminal disclosure forms.

Assist Assistant Dean of GPS with secretarial and technology support
a. Provide administrative support to department chair—schedule meetings, take notes during meetings, schedule rooms for meetings, order catering, etc.
b. Maintain the department budget—keep track of expenditures, prepare check requests, expense reports, petty cash vouchers, deposits, etc. Communicate with Finance. Collect and enter mileage forms and provide quarterly updates to Assistant Dean.
c. Build and enter undergraduate education department schedule of fall and spring courses.
d. Provide technical support to the Assistant Dean—assist with presentations, pull data from college systems including Colleague and self-service.
e. Perform word processing tasks including writing correspondence, reports, program handbooks, and brochures. Submitting materials for duplication.
f. Assist with accreditation reports.

Provide administrative support to identified GPS programs
a. Serve as liaison to all newly admitted students. Send welcome emails, maintain student records, respond to student requests for assistance, direct students to the appropriate program coordinator.
b. Monitor new student records in Colleague to confirm registration. Continue following-up with students until registered.

Provide administrative support to the Brookhill Grant
a. Support the grant’s administrator with all aspects of coordinating and scheduling meetings including reserving rooms, ordering catering, etc.
b. Submit reimbursement for director and assistant director when appropriate purchases are submitted.

Perform other duties as assigned

Job Requirements

Qualifications
• High school diploma required.
• Two years previous experience in an educational setting preferred.
• Strong organizational skills and the ability to work independently.
• Excellent interpersonal, written, and verbal communication skills
• Advanced computer skills including word processing, Microsoft Office Suite, database management and internet skills.

Working Conditions
The overall setting of the job is in an area conducive to a normal office environment with minimal exposure to adverse conditions.
