JOB SUMMARY
This position is responsible for the overall operation of Registration, Student Records and Credit Class Scheduling. This position reports to the Associate Provost, Student Affairs and Marketing.
ESSENTIAL JOB FUNCTIONS:
1. Manages all aspects of Records and Registration and associated staff, including but not limited to:
• Develops the College and Records Office calendars
• Directs all credit registration activities
• Administers and coordinates the College’s credit class schedule
• Responsible for the updates and additions to the catalog
• Oversees the course grading process, including mid-term and final grades, and the process of grade changes
• Maintains Academic Standings files through appropriate report generation
• Participates in the development of design and written communications to students
• Resolves complaints related to transcript evaluation, cancellation of sections, drops for non-payment, and residency issues
• Assists in design of registration publications
• Manages records and commencement budgets
• Supervises, trains, and evaluates Records Office staff.
1. In conjunction with the Business Office, assists with the cancellation of student classes due to non-payment by communicating payment deadlines to registered students and de-registering students after the deadline passes
2. Acts as liaison with department chairs and program directors over course offerings, course design, program design, waitlists, caps, late registrations etc.
3. Serves on Commencement, Ellucian, Security and other committees as assigned
4. Maintains degree audit, self-service plans, ARTSYS plans to assure alignment to Curriculog/Acalog plans
5. Monitors web page for updates
6. Participates in affinity and software group discussions; brings best practices to fruition
7. Interprets/applies federal and state-mandated guidelines (COMAR and FERPA)
8. Stay informed about upgrades/system improvements to College systems, patches, research, and new implementation
9. Performs other duties as assigned
MINIMUM REQUIREMENTS TO PERFORM WORK:
• Master’s degree and five years’ experience in a College Student Affairs/Records Office, or bachelor’s degree and seven years’ same experience
• Excellent organizational skills and ability to adapt quickly to change (i.e., changes in technology etc.)
• Proficiency in Microsoft Office
• Familiarity with reporting software (i.e., Business Objects)
• Ability to work one evening per week and/or an occasional Saturday
Preferred
• Two years of supervisory experience
• Extensive knowledge of Ellucian Colleague
• Expertise in Code of Maryland regulations (COMAR)
PHYSICAL DEMANDS:
The work is normally sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Additionally, the following physical abilities are required:
• Hear/talk/communicate – Must be able to exchange information and communicate
• Visual Acuity/ability to perceive or detect surroundings
• Mental acuity – Able to focus, concentrate, understand, and convey subject matter
• Repetitive motion (i.e., keyboarding)
• Stand/sit/walk/able to move or traverse from one area to another
WORK ENVIRONMENT:
College campus. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms; use of safe workplace practices with office equipment; computers for data entry and word processing; avoidance of trips and falls; observance of fire and building safety regulations and College policies.
SALARY INFORMATION
This position will be placed on the College 12-month Exempt Staff salary scale at grade 109. Actual salary placement based on qualifications and experience. Position includes an excellent fringe benefit package.
