Job Description
The Grants and Contracts Associate is an entry level position that will provide valuable administrative support to the Grants & Contracts (G&C) Team at the Institute of Human Virology (IHV). The associate is a critical player to the team in meeting departmental objectives to carryout the mission of IHV. They will attend all Grants and Contracts Team Meetings and learn about the world of grants and contracts in research administration while assisting the team. Thorough training will be provided for the associate to perform their duties comfortably and provide excellent customer service to internal and external customers. This position reports to the Grants & Contracts Research Administrator at IHV.

Essential Functions:
Maintain the Grants and Contracts Task Dashboard in order to track the progress of assigned tasks from Grants and Contracts Team Members whom conduct full life cycle grant management activities for Principal Investigators across all five research divisions at IHV.
Submit Debit Memos to correctly allocate project funds.
Complete Subrecipient Invoicing for wire payment to International Subrecipients.
Process Budget and Direct Retros to maintain proper distribution of project personnel effort.
Track Sponsor Reports to assure awarding agency and audit compliance.
Process and submit Invoice Receipts for Domestic Subrecipients. This includes triaging invoices to the appropriate faculty, program staff, and/or G&C team member for review and processing. This also includes tracking the invoices through the payment life cycle.
Assist the Grants and Contracts Team in coordinating and submitting various system requests, along with follow-up correspondence with both the Sponsored Programs Administration (SPA) office and the Sponsored Projects Accounting and Compliance (SPAC) office. This includes but is not limited to following up on the status of account set-up and project IDs, account closeout, invoice and payment status, including those for clinical trials, sponsored agreement negotiation, and subaward approval and execution
Maintain the IHV Grants & Contracts listserv, which sends out notices regarding funding opportunities and other sponsor notifications. This includes going to specific websites that list funding opportunities and drafting a weekly notice for the research faculty and staff to be sent out on the listserv.

Job Requirements
Education: High School Diploma or GED.
Experience: Four (4) years directly related experience.
Other: Financial disclosure reporting required by State of Maryland Ethics Commission.
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Required Knowledge/Skills/Abilities:
Customer service, data entry, portal-web applications experience, project tracking, recordkeeping, drafting emails and email correspondence, and working with spreadsheets and databases. Proficient in the full Microsoft Office Suite (Outlook, Word, Excel, Powerpoint, et al.), Adobe Acrobat Pro. Working knowledge of research and sponsored programs administration; and grants and contracts policies, procedures, and guidelines. Ability to learn Federal, State, and funding agency requirements related to grants and contracts. Ability to learn and understand legal documents, contracts, applications, and awards. Ability to communicate effectively orally and in writing. Ability to follow oral and written instructions. Ability to work in an independent and self-directed manner. Skill in using computers and other office equipment; in composing correspondence; in managing filing systems; in gathering and summarizing information; in maintaining confidentiality and handling sensitive matters with discretion and tact; and in planning, organizing, prioritizing, and executing complicated and continuing grant and contract assignments without instruction.
Based on the duties of this position, selected candidates are not eligible to participate in the Bargaining Unit (Union).
Salary Range: $46,341.46 – $49,756.10 (Commensurate with education and experience)
