Job Summary
This position is responsible for providing front office and administrative support for staff and students in the Financial Aid Office. It reports to the Director, Financial Aid.

Essential Job Functions
Serves as the first point of contact for current and prospective students, parents, and visitors who telephone, email, or visit the Financial Aid Office. Monitors student traffic flow within the office; provides assistance to and/or alerts professional staff of student needs.
Assists office visitors with consumer materials, application procedures, and deadlines.
Reviews high school/transfer transcripts and GEDs for legitimacy, records in system, and sends to Records for final archival process
Assists with on and off campus and evening recruitment and retention efforts by providing financial aid information at student orientation, high school outreach and resource centers targeting non-traditional students.
Advises prospective and current students and parents on all aspects of the financial aid process. Provides guidance and support, including information about funding resources (federal grants and loans, state grants, agency resources, scholarships, and federal work-study), application procedures/deadlines and eligibility to students. Service is provided in-person in the Financial Aid Office and in conjunction with Admissions and Records
Explains and provides information on institutional policies and federal regulations and how they may affect a student’s aid eligibility. Provides professional advice to students regarding how academic choices (course selection, enrollment levels, attendance, drop/withdraw, progress toward completion, GPA, etc.) affect financial aid eligibility.
Clearly communicates and acts in accordance with applicable federal and state regulations and institutional policies and procedures. Understands and applies current federal laws, rules, and regulations as appropriate to the job.
Gathers required documents (worksheets, tax information, W2s and anything else needed to complete verification; reviews files to make sure what student included on their FAFSA matches their tax information and makes corrections; accordingly, communicate with students and/or parents for clarification or missing information.
Analyzes and recommends improvements and program changes necessary for quality customer service and regulatory compliance.
Assists the student and parent with filling out the FAFSA
Prepares and runs a weekly automated download of related information from the US Dept. of Education; runs error reports; interprets error codes, investigates, trouble-shoots, and mail out missing information letter to students.
Processes all outside scholarships that the Business Office receives and code these awards in the system responding in a timely manner to requests from the Maryland’s Dept. of Education Division of Rehabilitation Services (DORS) for information on students enrolled at Carroll including verifying enrollment, billing, and aid for each student presented.
Maintains bulletin boards, brochure supplies, forms, office signage, and web site information.
Performs other duties as assigned

Minimum Requirements to Perform Work
High school diploma or equivalent. At least two years of administrative support experience including some customer service.
Knowledge of Microsoft Office Suite.
Ability to maintain confidentiality.
Excellent organizational skills.
Available to work some evenings and occasional weekends.

Preferred:
Associate degree
Experience in higher education

Supplemental Information

SALARY INFORMATION:

This position will be placed on the 12-month non-exempt staff salary scale at grade 7. Actual salary placement based on qualifications and experience. Position includes excellent benefits package.

PHYSICAL DEMANDS:

The work is normally light work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Additionally, the following physical abilities are required:

Hear/talk/communicate – Must be able to exchange information and communicate
Visual Acuity/ability to perceive or detect surroundings
Mental acuity – Able to focus, concentrate, understand, and convey subject matter
Repetitive motion (i.e., keyboarding)
Stand/sit/walk/able to move or traverse from one area to another

WORK ENVIRONMENT:

College campus, direct contact with students, staff, faculty and the general public in classrooms, common areas, offices, and campus environments. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms; use of safe workplace practices with office equipment; computers for data entry and word processing; avoidance of trips and falls. Observance of College policies; fire and building safety regulations.
