Salary Details
This position will be placed on the 12-month non-exempt staff salary scale at grade 7. Actual salary placement based on qualifications and experience. Position includes excellent benefits package.

Job Summary
This position supports a variety of Student Engagement functions including Athletics, Career Development, Honors, New Student Orientation, Areas of Study, Campus Activities, Student Leadership Development, Service-Learning, and the Student Activities Finance Board. The Associate is responsible for budget-tracking for 15-20 budget lines, providing courteous and professional dissemination of information to students, community members and faculty/ staff. The Office of Student Engagement is a fast-paced environment providing frontline student support through events, activities, and resource referrals. This position provides key support for recruitment events, Athletics, Honors, and Student Engagement activities, and plans/supports on campus events, activities, and trips for all areas of the Student Engagement Office. It reports to the Senior Director, Student Engagement.

Essential Job Functions
Coordinate/track all financial transactions for 15-20 budgets lines including but not limited to ordering supplies, reconciling purchasing cards, maintaining purchasing card records, and preparing purchase orders, contracts, and vendor/services payments
Represent the College and office at off-campus events such as high school nights, high school athletic games, open houses, information sessions, etc. to recruit students and student athletes to attend Carroll
Plan and support on-campus events, activities, and trips by coordinating and supporting logistics including room reservations, hotel/bus accommodations, facilities-set-up, room assignments, etc., marketing, set-up, event/trip staffing, clean up, etc. Assist SGO-recognized club advisors and faculty with arrangements for events or trips
Provide excellent customer service by answering telephone, responding to email inquiries, greeting students or visitors, triaging calls/emails to appropriate parties as necessary and monitoring flow of traffic within assigned area
Perform administrative duties as needed for the Student Engagement, Career Development, Honors, and Athletics staff (roughly 27-30 people total)
Provide oversight for the overall Student Engagement Office environment
Prepare internal and external correspondence or documents. May perform mail merges, develop spreadsheets, create flyers or slide presentations, or update websites
Edit, format, and revise a variety of documents and materials created by others. Proofread for grammatical, typographical, and basic content errors. Convert rough copy and drafts to final version quality reports, presentations, and documents.
Photocopy, fax, distribute incoming mail and other related materials, request/collect/track information, maintain/order inventory for assigned areas, and maintain assigned filing systems.
Monitor email inboxes, calendars, and career email accounts. Provide responses or forward messages to appropriate staff member when needed. Keep abreast of all pertinent dates and information related to workshop registrations and maintain the Student Engagement calendar.

Minimum Requirements to Perform Work
Associate degree
Two years of administrative support experience
Experience using MS Word, Excel, Outlook, PowerPoint, database software, web authoring software, and presentation graphics in a windows environment
Excellent organizational, customer service, and oral/written communication skills
Ability to prioritize competing priorities
Detail-focused in order to recognize patterns, errors, and perform basic math functions
Ability to use computers for data entry, word processing and/or accounting purposes
Ability to use small office equipment including copy machines or multi-line telephones
Ability to work some nights and weekends for recruitment/orientation/special events, etc.
Must be flexible, responsive, positive, welcoming to all, cooperative and supportive

Preferred:
Experience in higher education/student affairs

PHYSICAL DEMANDS:

The work is normally light work which requires exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Long periods of standing may be required during special events. Additionally, the following physical abilities are required:

Hear/talk/communicate – Must be able to exchange information and communicate
Visual Acuity/ability to perceive or detect surroundings
Mental acuity – Able to focus, concentrate, understand, and convey subject matter
Repetitive motion (i.e., keyboarding)
Stand/sit/walk/able to move or traverse from one area to another
Lifting, crouching

Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms. Use of safe workplace practices with office equipment; computers for data entry and word processing with some highly technical applications and new technology systems; avoidance of trips and falls; observance of fire and building safety regulations; observance of all College policies; and observance of traffic laws when/if driving College vehicles.
